Assist in organizing company events, meetings and conferences.
Acting as a point of contact for internal and external stakeholders, handling inquires and requests efficiently.
Provide support with various ad-hoc tasks and projects and assigned by executives, demonstrating flexibility and willingness to take on new challenges.
Proactively identify areas of process improvements and implement solutions to streamline administrative processes and enhance efficiency
- Travel Management Coordination
budget and schedules via travel booking tools, according to company travel policyMaintaining the travel booking application and being the key contact to the travel agency
Coordinate visa applications, forms e/g ESTA, rental car and other travel documents as needed.
First level support for the travel booking application, ensuring timely submission of expense reports for reimbursement (for Executives)
Contact person for hotels and other contractors for yearly contract rates and updating them in the system.Requirements:
- Bachelor degree in Business Administration or similar
- Min 5 years experience in international business environment
- Proven experience as an executive assistant or in a similar administrative role
- Proficiency in English, German is strong advantage
- Strong organizational and time management skills with ability to prioritize tasks effectivly
- Excellent communication and interpersonal abilities both written and verbal
- Detailed oriented with high level of accurancy in all work
- Ability to maintain confidentiality and handle sensitive information with discretion
- Strong team player but also being able to work independently and proacitvely
- Flexibility and adaptability to handle changing priorities and tight deadlines
- Customer focus (internal & external)
- Proficiency in using MS office applications, Travel booking applications
